An appointment letter is written whenever you want to set up an appointment with someone. There are times when the other person is busy and needs to take out time from his/her busy schedule in order to talk to anyone. Therefore, in that case, you need to write an appointment letter where you are going to ask for his/her time so the two of you can sit down and talk.

Make sure that your letter has an extremely formal and professional tone. Keep the information concise because it becomes easy for the person to read. Moreover, write down the reason for your appointment and give them your contact details so they can let you know the time when they want to meet up with you.

Dear George,

I am writing this letter in order to ask you whether it will be possible to see you sometime next week so that we can discuss a possible partnership between your clothing line and our chain of retail stores. Currently we have retail stores in most of the major cities of America and we have even managed to extend our business into smaller towns. I am quite sure that if the two of us can join forces then it is going to be beneficial for both of us.

This is my second letter to you regarding a partnership proposal. I am trying to set up an appointment since the past three months but somehow you were not in the country due to some personal reasons. However, now you are here and I believe it is the perfect time that the two of us should sit down and talk about a possible partnership between the two of us.
